Terms of service
Last updated November 3, 2026
These terms are new. Our attorneys are reviewing them, and we will post any changes here with the date.
These terms cover praxdex.com, the waitlist, and the PraxDex service for firms that subscribe. They are written to be read. Our privacy policy explains how we handle information.
The short version
- PraxDex is software for accounting and tax-planning firms. Your firm stays in charge of its clients, its advice and its data.
- Your firm's data belongs to your firm. We use it only to run PraxDex for you, and we give you a copy when you ask.
- The software drafts and reminds. A person at your firm approves anything that matters before it reaches a client.
- PraxDex does not give tax, legal or accounting advice.
- You pay monthly through Stripe and can cancel at any time.
Who these terms are with
These terms are an agreement between you and PraxDex LLC ("PraxDex", "we", "us"). If you use PraxDex for a firm, you agree for that firm and confirm you are allowed to. "Your firm" means the business that signed up; "your clients" means the people and households your firm serves.
If you are a client of a firm that uses PraxDex, your relationship is with your firm. The parts of these terms that apply to you are acceptable use and no advice from PraxDex; your firm's own terms cover the rest.
The website and waitlist
You may read praxdex.com and join the waitlist free of charge. Joining the waitlist does not reserve a place or a price, and we may open places in any order. Please keep client details out of anything you send us.
Screenshots, videos and examples on the website use made-up firms, clients and figures. Features described as "coming soon" or "switching on" are not available yet and may change.
The PraxDex service
PraxDex gives each firm its own workspace: a client file and pipeline, scheduling, messages, a client portal and the other tools described when you sign up. Each firm's workspace runs in its own separate environment with its own database.
We will run the service with reasonable care and skill, keep it secure in the ways our privacy policy describes, and tell you before we remove a feature that is not labelled beta, preview or coming soon. We do not promise a specific uptime yet. When we do, it will be in writing.
Accounts and sign-in
- The person who signs up becomes your workspace's first admin. Admins decide who on your team has access.
- Keep sign-in links, authenticator codes and backup codes private. Tell us straight away if you think someone else has signed in as you.
- You are responsible for what happens in your workspace under your team's accounts.
Your firm's data
Everything your firm and your clients put into PraxDex is your firm's data. You keep all rights to it. You give us permission to store, copy, process and transmit it only as needed to provide PraxDex to you, to keep it secure, and as the law requires.
- We do not sell your firm's data, and we do not use it to train AI models.
- Our staff do not look at your firm's data unless you ask us to help with something, or we must to keep the service secure or to obey the law.
- When your firm leaves, we give it a copy of its data if it asks within 30 days of the plan ending, then delete its workspace, its storage and its backups within 60 days of the plan ending, as the privacy policy describes.
- If we confirm a breach affecting your firm's data, we will tell your firm within 72 hours and keep you updated as we learn more.
Your clients
Your firm is responsible for its relationship with its clients. In particular, you are responsible for:
- having the right to put your clients' information into PraxDex, and giving your clients any notices the law requires, including your own privacy notice;
- getting any consent the law requires before you use or disclose tax return information, including under section 7216 of the Internal Revenue Code;
- getting consent before you record or transcribe a call, where the law requires it;
- what your firm sends to clients and the advice your firm gives.
PraxDex handles your clients' information for your firm and on your instructions. You can set your firm's own privacy policy link for the client portal in Setup, under Connections.
Drafts made by software
Some PraxDex features use AI models to draft text, answer questions and suggest next steps. These drafts can be wrong. A person at your firm reviews them, and the parts that matter most, such as money, plan approvals and signatures, always stay with a person. You are responsible for checking a draft before you rely on it or send it.
No tax, legal or accounting advice
PraxDex is software. It does not give tax, legal, accounting or investment advice, and nothing in it creates an accountant-client or attorney-client relationship with PraxDex. Any advice your clients receive comes from your firm.
Plans, billing and cancelling
- Prices are shown when you sign up. You pay a monthly firm license, plus any users you add beyond those included. Users you add are billed from your next invoice.
- Each plan includes an allowance of AI use. Use past the allowance is billed only up to a monthly limit your firm's admin sets in Setup, under Billing. The limit starts at $0, so nothing extra is billed until you raise it.
- Payments are handled by Stripe. We never see or store your full card number.
- Plans renew each month until you cancel. To cancel, email us from an admin's address; your plan ends at the end of the month you have paid for. We do not refund part months.
- Founding or offer codes apply only as stated when you use them.
- We will give you at least 30 days' notice by email before we change your price.
Acceptable use
Do not use PraxDex to:
- break the law, or help anyone else break it;
- send spam, or messages people did not agree to receive;
- store or send anything you do not have the right to;
- try to get into another firm's workspace or data, or into parts of PraxDex you were not given access to;
- test, scan or overload PraxDex's systems without our written permission;
- copy, resell or reverse-engineer PraxDex, or use it to build a competing product.
Beta features
The first firms join PraxDex during its beta. Some features are labelled beta, preview or coming soon. They may change, may have mistakes, and may be withdrawn. Please do not rely on them for anything critical without checking the result.
Ownership
PraxDex owns the PraxDex software, website, name and logo. These terms give your firm the right to use PraxDex while you are subscribed; they do not transfer any ownership. If you send us suggestions, we may use them without owing you anything.
Warranties and liability
Apart from what these terms say, PraxDex is provided "as is", without other warranties, to the extent the law allows. To the extent the law allows, PraxDex is not liable for indirect or consequential losses, such as lost profits, and our total liability for any claim relating to PraxDex is limited to what your firm paid us in the 12 months before the claim. Nothing in these terms limits liability that the law does not allow us to limit.
Suspension and ending
You can stop using PraxDex at any time. We may suspend or end access if a firm does not pay, breaks these terms, or puts other firms or the service at risk. Unless the risk is urgent, we will tell you first and give you a chance to fix it, and we will still give you a copy of your data.
Changes to these terms
If we change these terms, we will update the date at the top. If a change materially affects firms that subscribe, we will email your workspace's admins at least 30 days before it takes effect.
